After the 5k road race there will be a duck dash for youth. We will need ribbons for prizes for the duck dash.

MINUTES OF ORGANIZATION COMMITTEE MEETING OCTOBER 3, 2006 10:00 AM

Members Present: Sarah Millette, Natalie Peterson, Ivan Burnell and Pat Jones, Excused: Donna Sargent

The Ossipee Main Street Newsletter decisions were made. It will come out quarterly, with the winter edition being the first. It will be copied on both sides of an 11x17 paper. It will be distributed much the same way that the recreation schedule is. New committee member Nat Peterson said that she will be in charge of producing the newsletter. She interviewed Sarah Millette for the first edition. I later convinced her to interview our Volunteer of the Year and Board Member of the Year, rather than the President in the first one. Our Mission Statement and Vision Statements will be included. The advice of the Resource Team was that we should include a lot of photographs. Nat will bring what she has put together to the next ORG meeting. Anyone with suggestions as to what they would like to see included in the newsletter, please let us know.

Another page on our work plan is the responsibility for the budget. According to the structure set up, ORG and another committee will present their budget to the Board of Directors at the November meeting and the other two committees will present in December. So the whole budget should be ready for approval in January.

We set up the other pages of our work plan, which include the Speakers’ Bureau, Getting and collecting pledges, donations, and grants, the Website, Appreciation activities, Fund raising by selling ornaments, Fund raising with the duck race, Setting up the Façade Improvement Program, Target area clean-up, and Developing and maintaining a brochure. On November 7 at the next ORG meeting we will discuss the details of these pages. New this year will be to include budget receipts and disbursements for each page of the plan for presentation to the Board of Directors.

Next meeting is November 7 at 10:00 AM at the Town Hall upstairs.

Respectfully submitted, Pat Jones

MINUTES OF ORGANIZATION COMMITTEE MEETING SEPTEMBER 5, 2006 10:00 AM

The ORG Committee plans to do a Thank-you for our many dedicated volunteers, sometime in Early November or in January, probably for 25-30 people. Plans will be finalized in October ORG meeting. We have also discussed having an event to thank the people who have paid pledges; perhaps in the spring in the new building.

Christmas Ornament fund raiser Price is $20.00 and 2 for $30.00. Each one bought after that by the same person at the same time is $15.00 each. They will be for sale at the Sock Hop and OCC’s Fall Festival. We discussed running an ad with a photo in the newspaper when it gets closer to the holidays.

The rest of the meeting was spent going over the schedule for the Resource Team visit. Sarah has done a great deal of work setting up for the small group sessions. Unfortunately, many people are at work during those time periods. It is very important for everyone to attend the Sunday Reception and the Wednesday night pizza session, where the team shares their findings.

See you for ORG October 3 at

Respectfully submitted,

Pat Jones

Pledge request letters went out last month response has been much quicker this year, people must be beginning to know what we’re trying to do. Each person who sends in their pledge gets a thank-you and a membership card for 2006. Sarah has been making up labels for the mailings.

The Old Home Week Committee has to raise thousands of dollars this week to pay Old Home Week expenses, so we will only be selling our items at events put on by our members and at the fireworks on the fourth. Ducks, sweatshirts, tee shirts, and Christmas ornaments. We have two card tables for easy set-up There will be a sign-up sheet at the next B-O-D. If a lot of people sign up, we can split the job into shifts. Events: Art Show Thurs July 6 10-2, OCC fair after the fair on the fourth, OCC turkey supper, and many people at the fire works.

ORG needs to find a new meeting time. ???

Good Luck to Allison and many thanks to Elizabeth Pat

We are still concerned about internet costs, looking for a better solution, too expensive for the little it is used. Beverly is still working on this.

We now have Workers Compensation Insurance, which is required by NH Main Street in their letter of agreement. This will be paid from Employee Benefits

We received a letter from IRS with five things we need to do to fix by our application by Feb 15. With Ralph Wurster’s help, it is done. However, we are waiting for the state to send back our amended Articles of Agreement with their stamp, so we can include it in the packet.

LOGO for sign in progress. Still nothing for stationary.

I reviewed the budget for 2006 which was passed by the Board of Directors at the January meeting.

Speakers’ Bureau. We had our first occasion to speak to a group, the Lions Club. If anyone knows of a group who would like to learn more about the Main Street Program, let the Organization Committee know.

Do we want to tackle organizing the clean-up activities this spring? This was not discussed, but will be at a later date. Pride Day is May 6 for GMCG, should we use that date also?

Christmas Ornament fund raiser We decided to use the smaller logo. Allison is calling to get more detailed information about the procedure and the cost, since we already have the design created by our artist. We will be using the money we raised to pay the initial charge for the sample.

We agreed to pay $40 toward the cost of 100 brochures to the Economic Restructuring Committee, and $20 toward a gift certificate to Eric Tinker from Valuland who has helped us out so much.

We need to get our Work Plan for all committees laid out by months to ensure that we are covering the whole year somewhat evenly. Some committees may want to consider adding to their plan which goes until December 2006.
